You can register your interest in applying as a trader or for a stall pitch at future Summer Soulstice events, by completing an application form in the following categories…

Application


All applications for Summer Soulstice must be submitted on time with all payments from successful applicants made at least 6 weeks before the festival date. Please see application for our terms on power supply on the day.

For registered charities with an annual income of less than £250,000 – these single spaces are subsidised by Summer Soulstice (the event) to allow a number of smaller charities’ exposure to our audience. We will check your last audited accounts on the Charity Commission website.

Process


After downloading, completing and submitting the application form, please return by email or send to postal address supplied, along with the following attachments:

Recent photo(s) of your stall.

Scale diagram of proposed stall set-up, including placement of all back of house preparation areas, cool rooms, change rooms & requested adjacent camping.

Up-to-date insurance & appropriate H&S certification.

Selection


All applications will be dealt with in a timely and friendly manner and will be selected 8-12 weeks before the festival.

Make sure application is completed in full with all relevant documentation. Each year we receive more applications than we can accept and any missing information may jeopardise your selection.

Product quality and diversity is essential. We require an accurate description of your products, with pictures and prices.

Appearance and stall presentation: we require photo(s) of your stall and if you are providing your own tent/marquee/van. We look for creative and aesthetically pleasing stalls which fit in with the ethics of Summer Soulstice and have good quality food/products, at a fair price.

Applications will be judged and considered on the quality, price and variety of products to ensure fairness, avoid duplications and to create an interesting balance of stall categories and combination of new and previous traders/stall holders.

We welcome applications by new traders and do consider previous performances of regular traders/stall holders.

Please confirm you have read and signed the Trader & Stall Holder’s Terms & Conditions enclosed in the application, as this will form the contract with Summer Soulstice Ltd. (the festival organisers).

All applications must be accompanied with a copy of your Public & Employers Liability Insurance Certificate(s), Health & Safety documentation, photos of your merchandise & Food Hygiene Training Certificate (food handlers only) plus any further info you wish to submit in support of your application.

Notification


Traders will be notified no later that 8 weeks before the festival date as to whether their application is successful or not. Traders will not be able to trade at Summer Soulstice until they have provided all the required documentation with their application and paid for their pitch in full.

Additional Info


Food sellers: Our priority is fresh, healthy, interesting cuisine and at a fair price. You must comply with all environmental health requirements and written allergen information that conforms to current legislation, must be on display at all times. Please use only biodegradable packaging — NO GLASS or HARD PLASTIC. Where possible, all food must be served in/on disposables made from either wood, paper or cardboard, and this also includes drinks straws.

General: All approved traders will have a static pitch from which to trade, mobile/roaming vendors and fly-pitchers are not allowed. Anyone found to be selling products without the authorisation of Summer Soulstice Ltd., will have their items confiscated and may be evicted from the festival.

Sub-contracting, sub-letting or the sharing of a stall or any part of a stall is strictly forbidden. We expect the vendor who has applied, to be the trader running and managing the stall on site.

Alcohol can only be sold by an Alcohol/Cocktails trader who must be correctly licensed. Please note: there are very limited spaces for this category of trader.

No tobacco/e-cigarettes can be sold at the festival.

No pets are allowed on site due to Health & Safety restrictions.

Best Trader Award


In 2019, Summer Soulstice introduced the Best Trader Award which was won by festival regulars The Jamaican Food Crew, with Tipple On Tap taking a worthy runner’s-up award.

In 2022 Sweet N Delish won our award receiving an official certificate and discounted pitch price for 2023’s festival, while Tipple On Tap once again claimed second spot, received their own certificate and a discounted pitch for the next event.
